How to Write a Leave Application for School or College
A simple structure, tone guide and examples of what to include when you write a formal leave application.
Keep it short and formal
A leave application is a short formal letter. Be polite, state the reason briefly and give the exact dates. Avoid long explanations or emotional language.
The standard structure
Include the date, the recipient's designation (for example, The Principal or The Head of Department), a subject line such as 'Application for leave on 12 and 13 October', a salutation, a short body, a closing line and your name, class or roll number.
What the body should say
State who you are, why you need leave and for which dates, then request approval. For example: 'I am unwell and have been advised rest, so I request leave from 12 to 13 October. I will complete the missed work after returning.'
Attach proof if required
For medical leave or longer absences, many institutions ask for a medical certificate or a parent's signature. Check your institution's rules and attach what is needed.
Review before sending
Check the dates, your name and roll number, and the spelling of the recipient's title. If you generate a draft with a tool, edit it so that it states your own situation accurately.
